Administrative Assistant Support

Mission:

The mission for the Administrative Assistant Support (“AAS”) is to provide administrative support to the property management department to ensure efficient team operations. AAS is responsible for complex clerical and administrative work, as assigned. The ideal candidate is an energetic, conscientious, and detail oriented. This individual has exceptional communication and time management skills, enjoys building relationships, being part of a team, and takes pride in their career.

Expected Outcomes:

• Provide telephone overage for front desk breaks, lunch hour and/or PTO coverage for receptionist
• Provide telephone coverage for fellow Administrative Assistants out on PTO
• Answer tenant maintenance calls and emails, review lease for responsibility, and communicate with fellow Administrative Assistants / Property Mangers
• Schedule, track, and record work orders with vendors using work order software, relay scheduling timelines to tenants, and follow up on work order completion and tenant satisfaction
• Conduct daily monitoring of assigned work order software workflow
• Prepare lease abstracts and other documents for PM review and tenant files
• Support department with monthly rent increase, CPI and insurance letters and compliance
• Assist in new property takeover procedures
• Prepare lease amendment drafts, at the direction of PM
• Assist in tenant eviction procedures, tracking and lockout scheduling
• Prepare tenant move-in and move-out documentation
• Support weekly Tenant, Vendor, Owner filing
• Be able to handle multiple projects simultaneously, superior time management and attention to details
• Demonstrate initiative and sense of urgency in daily duties by meeting or improving upon deadlines

Education & Experience:
• High school diploma or GED
• 1+ years of commercial property management experience preferred

Work Environment/Notes:

• Job involves in-office work hours Monday – Thursday 8:00am – 5:00pm; Friday 8:00am – 4:00pm
