Administrative Assistant


The mission for the Administrative Assistant (“AA”) is to provide administrative support to the Property Manager (“PM”) in order to ensure efficient team operations. The Administrative Assistant is responsible for complex clerical and administrative work necessary to manage the workflow of the assigned property portfolio. The ideal candidate is an energetic, conscientious, and detail oriented. This individual has exceptional communication and time management skills, enjoys building relationships, being part of a team and takes pride in their career.

Expected Outcomes:

  • Answer tenant maintenance calls and emails, review lease for responsibility, and communicate with PM
  • Schedule, track and record work orders with vendors, relay scheduling timelines to tenants, and follow up on work order completion and tenant satisfaction
  • Conduct weekly task review meetings with PM
  • Track expiration and maintain Certificate of Insurance compliance for both tenants and properties
  • Prepare lease abstracts and other documents for PM to review and tenant files
  • Assist in new property takeover procedures
  • Prepare lease amendment drafts, at the direction of PM
  • Assist in tenant eviction procedures, tracking and lockout scheduling
  • Prepare tenant move-in and move-out documentation
  • Be able to handle multiple projects simultaneously, superior time management and attention to details
  • Demonstrate initiative and sense of urgency in daily duties by meeting or improving upon deadlines

Education & Experience:

  • High school diploma or GED
  • 1+ years of commercial property management experience is preferred

Work Environment/Notes:

  • Job involves in-office work hours Monday – Thursday 8:00am – 5:00pm; Friday 8:00am – 4:00pm
